ANNOUNCEMENT OF KVHAA ELECTIONS 2025 RESULTS

Date: January 13, 2025

Dear Members of the KVHAA Family,

We are pleased to announce the results of the KVHAA Elections 2025. This election, the first-ever since KVHAA’s inception, has been conducted with full transparency and inclusivity. We appreciate the participation of all members in making this process a success.

Election Process and Outcome

This election was conducted strictly in adherence to the schedule and the Rules and Regulations (Byelaws) of KVHAA. The nomination process, polling, and results tallying were carried out meticulously as per the prescribed guidelines.

The election schedule was as follows:

  • E-Voting: From 8:00 PM IST, 9th January 2025, to 8:00 PM IST, 10th January 2025
  • Physical Voting: 11th January 2025, 10:00 AM to 12:00 Noon, at PM Shri KVH, Hebbal
  • Results Announcement: 11th January 2025
  • Results Notification: 13th January 2025

This election also demonstrated the robustness of the technological platform chosen to enable General Body members who are not based in Bangalore, or were temporarily unable to visit the physical voting venue, to cast their votes. The e-voting platform, Helios, passed three rounds of mock testing and reported zero errors in all trial runs and the final e-voting process. The e-voting window was open for 24 hours, allowing members from all global time zones to vote remotely at their convenience.

At the physical voting venue, no ballots were found defective or disqualified, testifying to the seriousness of the voters and the accuracy of the entire process.

Though some General Body members reported sporadic violations of the KVHAA Elections Model Code of Conduct by a few candidates, the Election Committee decided to only issue warnings and refrained from imposing penalties. As this was the first-ever election for KVHAA, we believe the guidelines and rationale behind the Model Code of Conduct might not have been fully understood by all candidates. Therefore, all votes cast—through physical and e-voting formats—were fully credited to the respective candidates and tallied without any penalty deductions.

It is our hope that in the next election cycle, two years from now, the number of such violations will be reduced to nearly zero, reflecting an even greater understanding of the electoral process among the participants.

We also acknowledge the contributions of the Patron, Dr. Pramod Joshi, outgoing President, Dr. Alice Abraham, office bearers, and volunteers, whose continued support has been instrumental throughout this process.

Model Code of Conduct for Campaigning

Dear KVHAA life member,

We appreciate your active participation in the upcoming KVHAA elections. To ensure a fair and respectful electoral process, the KVHAA Election Committee has drafted the following Model Code of Conduct. This serves as a moral framework for all candidates and members during the election period.

Please read the following carefully and adhere to the stipulated Code of Conduct for Campaigning. If there are any violations that come to the notice of the Election Committee, it shall exercise its powers to take necessary actions, including but not limited to disqualification from the electoral process.

Code of Conduct for Campaigning

  1. Respectful and Honest Campaigning - Candidates must campaign in a respectful and truthful manner, refraining from personal attacks, defamation, or misinformation.
  1. Campaign for Self Only - Candidates are allowed to campaign solely for themselves. Forming parties, groups or alliances, promoting or campaigning for group choices / alliances are strictly prohibited.
  1. 3. Approved Platforms for Campaigning - Campaigns may be conducted via personal social media and private emails, keeping in mind the privacy concerns of the recipient of your campaigns. The Member List published on the KVHAA website shall serve as your guide to the target voters you want to communicate with. Approved forums, such as Election Committee-authorized WhatsApp groups, may also be used within the prescribed guidelines.
  1. Prohibited Platforms and Resources - Campaigning on KVHAA’s official platforms, including the Zoom account, website, social media pages, or from official email ids is not permitted. Unauthorized use of KVHAA resources (e.g., logos, banners) is strictly prohibited. Contacting school management or campaigning on school premises for electoral purposes is not permitted.
  1. Campaigning Timeline and Restrictions - The permitted campaigning methods shall be allowed from the date of publication of the Final List of Candidates by the undersigned, and shall cease 2 days before the Election Day, viz. by 6:00pm on Jan 9, 2025. Needless to say, campaigning or soliciting for votes on voting day is not allowed.
  1. Privacy and Non-Disruption - Candidates must respect members' privacy and avoid unsolicited or excessive communication that could cause inconvenience or annoyance of any kind. If such behaviour is reported from any quarters, and found to be true by the Election Committee on its own investigation, the candidate in question is liable to face disciplinary action, including but not limited to disqualification.
  1. Adherence to Guidelines - All campaign activities must follow the Election Committee’s instructions and meet the specified deadlines, as issued from time to time.
  1. Penalty for Violations - Proven violations, such as breaching campaigning guidelines, endorsing or denigrating other candidates, forming ballot groups, electoral alliances, issuing joint manifestos or influencing voters improperly and/or through unfair means, will result in strict penalties, including:
  2. a) Deduction of votes (10 votes per verified complaint).
  3. b) Withholding of results or disqualification from the election.
  4. c) Countermanding of the Election in the extreme event of large scale fraud, manipulation or malpractice during the time leading up to, and including, the Election Day.
  1. Complaints Process - Any complaints regarding campaign misconduct must be submitted in writing to the Election Committee, within 24 hours of the reported breach of the above guidelines. The Election Committee is free to adopt any method it deems suitable for investigating the complaint. Verified violations will lead to appropriate action.

We trust that all candidates and alumni will uphold the highest standards of integrity and decorum during this election process. Let us work together to maintain the spirit of camaraderie and respect that defines KVHAA.

Election Guidelines for Candidates

To ensure a fair and transparent election process, all candidates must strictly adhere to the KVHAA Model Code of Conduct.

Dos:
• Share campaign updates only on the KVHAA General Chat Group on WhatsApp, the official public group for alumni.

• Limit campaign posts to one post per day in the permitted WhatsApp group.
• Maintain respectful and professional communication at all times.
• Individual emails or direct messages to alumni are allowed but must not be spam-like.

Don’ts:
• Do not create or use unofficial WhatsApp groups for campaign purposes.
• Avoid sending bulk or unsolicited messages to alumni beyond the approved database.
• Refrain from defamatory, offensive, or misleading statements about other candidates or alumni.
• Misuse of alumni data or any breach of confidentiality will result in disqualification.

For Alumni Members

We encourage alumni to engage in constructive discussions and use the General Chat Group responsibly during the election period. Please refrain from spamming or using the group for personal promotions unrelated to the elections.

Important Voting Information

Each voter is requested to go through the published candidate profiles and declarations, as already published on the KVHAA website, and to cast their vote based on their independent judgment regarding each candidate’s suitability for the respective position. Your vote is precious and should be cast in a way that contributes to the selection of an Executive Committee that will function effectively as a cohesive team during its term of 2 years.

Eligibility to Vote:
Each Ratified Life Member, as appearing on the Final Electoral List updated on the KVHAA website by 6pm, January 8, 2025, will be eligible to cast one vote for each of the office-bearer positions and up to five votes for the five Member positions.
